Key Responsibilities:

Executive & Calendar Management

  • Manage and update monthly and daily calendars for CEO and COO.
  • Schedule and coordinate internal/external meetings, reminders, and invites.
  • Respond promptly to requests during office hours and beyond (including weekends, when needed).
  • Handle ad hoc tasks and last-minute changes efficiently.

Corporate Communication & Coordination

  • Represent the management team in communications with stakeholders.
  • Draft, proofread, translations, and send correspondence on behalf of management.
  • Attend and record minutes for management meetings; follow up on action items.

Travel & Event Planning

  • Coordinate business trips (flight, hotel, ground transport) for CEO, COO, and HODs.
  • Assist in planning management retreats, festive gifts, and guest hosting.
  • Liaise with internal departments to prepare materials, gifts, and venues.

Claims & Reporting

  • Process corporate and personal expense claims for CEO and COO.
  • Prepare monthly reports, summaries, and corporate presentation decks.
  • Track budget meeting documents and align with Finance and HODs.

General Support

  • Handle light housekeeping of CEO/COO offices.
  • Assist with personal errands or family-related matters as needed.
  • Provide office coverage when key admin personnel are on leave.

Requirements:

  • Min. 3 years' experience as a PA/EA or similar executive support role.
  • Proficient in Microsoft Office, calendar tools, and PowerPoint.
  • Strong communication skills
  • Able to multitask, prioritize, and act quickly under pressure.
  • Comfortable with after-hours responsiveness and confidential matters.
  • High emotional intelligence and professional discretion.
