ADMINISTRATIVE COORDINATOR | INTERNATIONAL ORGANISATION
Our client is a respected not-for-profit International Organisation where their work impacts economic socio-development of its members. . To support its expanding functions, the organisation is seeking an experienced Administrative Coordinator to be based here in Singapore.
The successful candidate will provide comprehensive administrative and operational support to the teams that are responsible for producing analytical reports, flagship publications, and thematic research on economic developments. This is an excellent opportunity for a highly organised, proactive, and service-oriented professional to be part of a dynamic international environment.
Key Responsibilities
- Provide day-to-day administrative and secretarial support, including managing correspondence, formatting reports and presentations, and maintaining shared documentation systems.
- Coordinate procurement-related processes, such as preparing documentation, liaising with vendors and service providers, managing requisitions, contract renewals, and payment follow-ups.
- Support the teams in planning overseas business missions, including travel logistics, meeting coordination, and communication with internal and external stakeholders.
- Assist in the organization of events such as workshops, seminars, and conferences, handling scheduling, logistics, materials preparation, and venue or virtual setup.
- Manage meeting arrangements, including scheduling, participant coordination, material circulation, and minute-taking; maintain accurate contact lists and records.
- Contribute to process improvements and other administrative initiatives as assigned by team leaders.
The Ideal Candidate
- Holds at least a Polytechnic Diploma or NITEC qualification, with 5 or more years of relevant administrative experience.
- Experience working in a multilateral organisation, international institution, or government agency would be a distinct advantage.
- Demonstrates strong interpersonal and communication skills, with the ability to engage diplomatically with diverse internal and external stakeholders.
- Highly organised, adaptable, and capable of managing multiple priorities under tight deadlines with attention to detail.
- Proactive and solutions-oriented, with a track record of improving administrative efficiency and reliability.
- Proficient in Microsoft Office / Microsoft 365 (Outlook, Teams, SharePoint, Word, Excel, PowerPoint) and comfortable with workflow systems; familiarity with Adobe Acrobat or related tools is an asset.
- Excellent command of spoken and written English.
