Role & Responsibilities:
Reports & Documentation
- Collate and verify internal reports for accuracy and timeliness.
- Coordinate with relevant departments on the assigned work & initiatives.
- Draft reports, presentations and confidential correspondence.
- Maintain and update the company's contract register.
- Screen documents and invoices for GM's signature.
- Record meeting minutes and manage project management.
General Affairs
- Coordinate affairs assigned to the company by HQ.
- Assist GM in the execution of HQ-driven initiatives, including the rollout of Group-wide policies, procedures, and internal control to enhance governance and compliance.
Travel Management
- Arrange hotel, flight, and vehicle bookings for GM and the Commercial Team.
- Handle visa applications and itinerary planning.
Administrative Support
- Manage calendars, meetings, and appointments.
- Process expense claims for GM.
- Maintain business contact databases.
- Support HR & Admin with staff engagement activities, when required.
- Perform ad-hoc duties as assigned by the GM.
Requirements:
- Bachelor's Degree / Diploma in Business Administration.
- Minimum 2 years' relevant experience, preferably in maritime industry.
- Proficiency in English and Mandarin, with the ability to draft, review and interpret formal documentation in Business Chinese.
- Detail-oriented, fast learner and able to multi-task in a dynamic environment.
- Strong integrity, work ethic, and proactive mindset.
- Excellent MS Office and IT skills.
- Pleasant personality with strong interpersonal communication.
