Job Responsibilities:
Reporting directly to Head, Project and Operations, you will be responsible to:
- Manage day-to-day office operations, including management of office supplies, vendor coordination, facility maintenance, and logistics.
- Handle travel arrangements, hotel accommodations, insurance matters, and general administrative tasks.
- Manage issuance and administration of employee access cards and locker keys.
- Ensure a clean, safe, and well-maintained office environment in compliance with safety standards.
- Support the CEO & COO to schedule for initial business meetings and provide assistance to follow up with clients or partners for subsequent engagements.
- Provide corporate secretarial support such as compiling reports and presentation slides and assist in the preparation of board meetings.
- Assist in managing the CEO's expense claims and related financial documentation.
- Provide executive support to senior management, including assistance with adhoc tasks, coordination of personal logistics, and ensuring a well-organised workspace.
- Assist in planning and executing company events and meetings.
- Maintain a high level of confidentiality and professionalism in handling sensitive information.
- Perform any other ad-hoc assignments as assigned from time to time.
Job Requirements:
- Diploma in Business Administration or equivalent with minimum 5-7 years of relevant work experience preferably in the financial industry
- Able to handle sensitive and private information with high confidentiality
- Meticulous, resourceful, disciplined, self-motivated with great initiative, able to work independently & within teams in a fast paced and challenging environment
- Pleasant disposition with excellent interpersonal, presentation, problem-solving and communication skills (both written and verbal)
- Proficient in MS Office Suite (Outlook, Word, Excel, PowerPoint)
