Job Description:
The Admin Executive is responsible for providing administrative and operational support to the Sales department, ensuring smooth processing of invoices, accounts receivable (AR), and collection activities. The role requires strong attention to detail, organization, and communication skills to support internal teams and external customers efficiently.
Key Responsibilities:
Perform general administrative and clerical duties, including document preparation and data entry.
Prepare invoices and billing accurately and in a timely manner.
Assist in accounts receivable (AR) and collection processes, ensuring timely follow-ups and reconciliations.
Prepare documentation for stock requests made by staff and hospitals.
Support monthly stock receiving and stock count activities.
Coordinate with internal departments to ensure smooth processing of financial and administrative transactions.
Maintain and update records, ensuring compliance with company policies and financial regulations.
Handle customer inquiries and provide professional customer service support.
Assist in preparing reports and documentation for financial audits and compliance checks.
Undertake other ad hoc duties as assigned by the supervisor.
Qualifications:
Diploma or Degree in Business Administration, Accounting, or a related field.
At least 1 year of experience in an administrative or customer service role, preferably in finance or operations support.
Strong attention to detail, highly responsible, and able to work under pressure.
Ability to work independently with minimal supervision.
Excellent interpersonal and communication skills to liaise with internal and external stakeholders.
Proficiency in Microsoft Office applications (Excel, Word, Outlook, etc.).
Fluent in both spoken and written English.
Knowledge of financial processes, invoicing, and AR collection is an added advantage.
