Position: Operation Executive – Sales

We are seeking a motivated and detail-oriented Operation Executive – Sales to join our team in Singapore. Reporting directly to the Head of Sales Division, this role plays a key part in supporting the sales function and ensuring the smooth execution of operational processes. The successful candidate will work closely with internal teams, distributors, and headquarters in Japan to deliver efficient, timely, and customer-focused support.

Key Responsibilities

  • Perform clerical and administrative duties, including preparing purchase orders, delivery orders, sales invoices, and goods received notes.
  • Process import and export documentation, liaise with freight forwarders, and manage logistics and shipping arrangements.
  • Coordinate with HQ Japan, distributors, and freight forwarders on shipment schedules, ensuring accuracy and timely delivery.
  • Maintain and update sales-related records, contracts, and data accurately in internal systems.
  • Support the Sales Division by preparing reports, forecasts, and documentation for management review.
  • Collaborate with internal divisions and departments to meet customer requirements and resolve operational issues effectively.
  • Provide administrative and logistical support for meetings, events, and exhibitions.
  • Monitor compliance with company policies, procedures, and regulatory requirements for sales and logistics processes.
  • Contribute to process improvements to enhance efficiency and customer satisfaction.
  • Perform any other duties or projects assigned by the Head of Sales Division.

Qualification and Job Requirements Desired:

  • Relevant Diploma in Logistics, Operations, Business Administration.
  • Minimum 3 years of working experience but candidates that have prior logistics experience are welcome to apply.
  • Knowledge in freight forwarding, import & export procedure and permit declaration.
  • Possesses good communication and interpersonal skills and a good team player.
  • Able to start on a short notice.
