As an Associate Executive, Operations (Allied Health & Nutrition Services), you will be responsible for the following duties:
1. Administrative & Departmental Support
- Oversee and prepare monthly departmental productivity reports and activity tracking.
- Maintain accurate records of teleconsultations and service utilization.
- Manage daily attendance updates to ensure adequate clinical coverage.
- Maintain organized filing systems for essential documents, including staff certifications, compliance forms, and public communications.
- Handle logistics such as internal mail, corporate gifts, and documentation between departments.
- Maintain and update staff lists, access permissions, and system records.
- Coordinate renewal of licenses, subscriptions, and equipment servicing schedules.
- Record and track continuing professional education hours in internal HR systems.
- Assist in meeting preparation, including minute taking and agenda coordination.
2. Finance & Procurement Administration
- Support financial processes for the department's cost centre.
- Handle honorarium and payment submissions, as well as e-pay verifications.
- Process budget amendment requests and track utilization reports.
- Facilitate procurement for consumables, operational items, and pantry supplies.
- Manage delivery orders, stock distribution, and inventory tracking across multiple sites.
3. Equipment & Facility Management
- Coordinate requests for asset transfer, disposal, and acquisition of new equipment.
- Manage annual CAPEX/OPEX procurement processes.
- Oversee delivery, storage, and maintenance of medical and office supplies.
- Conduct regular checks on equipment functionality and product expiry.
4. IT Coordination & System Support
- Serve as the department's liaison for IT accounts, hardware allocation, and access requests.
- Monitor IT asset leases and replacements to ensure smooth operations.
5. Staff & Student Administration
- Manage onboarding and offboarding processes for staff, students, and interns.
- Coordinate access setup for ID, IT systems, and payment accounts.
- Support staff training logistics and ensure proper documentation.
6. General Office Operations
- Monitor departmental spending to ensure financial efficiency.
- Process claims and maintain records for financial audits.
- Support quarterly budget reviews and expenditure reports.
- Oversee key management, office supplies, and departmental communications.
- Maintain notice boards and ensure the workspace remains organized and updated.
Requirements
- Minimum Diploma
- Proficient in MS Word, Excel, PowerPoint
