ASSISTANT(E) DE DIRECTION - Maternelle


MISSION


L'assistant(e) de direction assure le suivi des tâches relatives à l'administration de l'école maternelle en apportant un soutien permanent au directeur en termes d'organisation, de gestion, de communication, d'information, d'accueil, de classement et de suivi de dossiers.


RESPONSABILITÉS

  • Organiser les rendez-vous et le planning du directeur de l'école maternelle

  • Préparer et organiser les réunions (réservation des salles et commandes Chartwell's)

  • Assurer la prise de notes dans certaines réunions en accompagnement du directeur et réaliser certains comptes rendus

  • Filtre les appels et assure l'accueil physique

  • Accueil des nouveaux personnels sur une vision générale de la maternelle (visite de l'école, rappel de l'emploi du temps)

  • Rédiger les courriers et assurer la transmission de l'information aux parents,

  • Assurer une supervision générale des entrées et sorties des enfants le matin et le soir

  • Actualiser les informations administratives et réglementaires et procéder à l'archivage, au classement des documents

  • Assurer la gestion administrative des arrivées et départs d'élèves (mise à jour des listes de classes et des dossiers scolaires des élèves)

  • Etablir les commandes de matériel, de fournitures, de consommables et vérifier la conformité des livraisons administrative

  • Assurer l'interface au quotidien avec les services supports (transport, maintenance, restauration scolaire etc.)

  • Gérer le matériel de l'école maternelle (fournitures ASEM, emprunts, photocopieurs…)

  • Suivi des budgets et préparation du parapheur

  • Assurer le suivi des absences du personnel et gérer leur remplacement

  • Coordonner l'activité des ASEM ayant des responsabilités administratives (établissement de leur emploi du temps, répartition du travail, assignation de tâches)

  • Contribuer à la circulation de l'information et aux échanges avec tout le personnel du cycle 1

  • Assurer le suivi des procédures et leur mise à jour notamment liées au PDPA

  • Tâches complémentaires liées à des situations exceptionnelles


COMPÉTENCES, EXPÉRIENCE ET FORMATION REQUISES

  • Bac 2 ou équivalent, ou minimum 5 ans d'expérience sur un poste identique,

  • Parfaite maîtrise du français et de l'anglais, à l'écrit comme à l'oral,

  • Bonne maîtrise des outils bureautiques (Word, Excel, PowerPoint, outils de la suite google),

  • Qualités relationnelles: sens de l'écoute, diplomatie, patience et capacité d'accueil

  • Qualités d'organisation : anticipation, respect des délais et discernement

  • Capacité à gérer simultanément plusieurs activités et à hiérarchiser les urgences

  • Réactivité, initiative et respect des procédures

  • Respect de la confidentialité, discrétion et devoir de réserve

  • Expérience dans l'encadrement des enfants de 2 à 6 ans est un plus.

  • Maitrise de l'outil PRONOTE et EDUKA est un plus.

MISSION


The Assistant Director is responsible for the administration of the kindergarten providing ongoing support to the Director in terms of organization, management, communication, information, reception, filing and follow-up of files.



RESPONSIBILITIES

  • Organize appointments and the schedule of kindergarden's director

  • Prepare and organize meetings (room reservations and Chartwell's orders)

  • Take notes at certain meetings with the director and produce some reports

  • Filter calls and ensure, physical welcoming

  • Welcome new staff with a general overview of the kindergarten (tour of the school, reminder of the timetable)

  • Draft mails and ensure that information is passed on to parents,

  • Ensure general supervision of children's arrival and departure in the morning and evening

  • Update administrative and regulatory information. Archive and classify documents

  • Ensure administrative management of children's arrivals and departures (update class lists and children's school files)

  • Draw up orders for equipment, supplies and consumables, and check compliance of administrative deliveries.

  • Ensure as day-to-day interface with support services (transport, maintenance, school catering, etc.). )

  • Manage kindergarten equipment (ASEM supplies, loans, printers, etc.)

  • Monitor budgets and prepare the parapheur

  • Monitor staff absences and manage replacements

  • Coordinate the activities of ASEMs with administrative responsibilities (timetabling, work distribution, task assignment)

  • Contribute to the flow of information and exchanges with all Cycle 1 staff

  • Monitor and update procedures, in particular those linked to the PDPA

  • Additional tasks linked to exceptional situations



SKILLS, EXPERIENCE AND TRAINING REQUIRED

  • 2 years' higher education or equivalent, or at least 5 years' experience in an identical position,
  • Perfect command of French and English, both written and spoken,
  • Good command of office automation tools (Word, Excel, PowerPoint, tools from the Google suite),
  • Good interpersonal skills: listening skills, diplomacy, patience and ability to welcome
  • Organizational skills : anticipation, respect for deadlines and discernment
  • Ability to manage several activities simultaneously and prioritize emergencies
  • Responsiveness, initiative and respect for procedures
  • Respect for confidentiality, discretion and duty of reserve
  • Experience in supervising children aged 2 to 6 is a plus.
  • Proficiency in PRONOTE and EDUKA is a plus.
