Facilities Coordinator | 2-2.5 Months

Key Responsibilities
- Oversee the day-to-day delivery of soft services, including cleaning, landscaping, pest control, mailroom and office supplies.
- Conduct regular site inspections to ensure service quality, cleanliness, and compliance with safety standards.
- Monitor vendor performance to ensure adherence to agreed KPIs and SLAs.
- Coordinate routine and ad-hoc deep cleaning, pest control, and space refresh activities.
- Support event setups, office moves, and workplace readiness checks.
Vendor and Contract Management
- Liaise with vendors to schedule services, track performance, and resolve operational issues promptly.
- Review vendor documentation (e.g., service reports, risk assessments, and incident logs).
- Support the Facilities Manager in procurement activities, including quotation reviews and cost comparisons.
- Ensure all vendors follow site safety and access protocols.
Health, Safety, and Environment (HSSE)
- Promote compliance with workplace health and safety standards.
- Conduct toolbox talks and support HSSE audits.
- Report and follow up on near misses, incidents, and non-compliance cases.
- Support sustainability and waste-reduction initiatives.
Customer and Stakeholder Engagement
- Serve as the first point of contact for employees on soft service-related queries or issues.
- Communicate service updates, maintenance schedules, and space readiness effectively.
- Work closely with cross-functional teams (e.g., Culinary, Security, EHS, WPD) to ensure smooth daily operations.
Administration and Reporting
- Maintain accurate records of daily operations, vendor attendance, and service reports.
- Assist in budget tracking, invoice verification, and cost allocation for soft services.
- Prepare periodic performance summaries and operational reports for management review.
