Key Responsibilities

  • Oversee the day-to-day delivery of soft services, including cleaning, landscaping, pest control, mailroom and office supplies.
  • Conduct regular site inspections to ensure service quality, cleanliness, and compliance with safety standards.
  • Monitor vendor performance to ensure adherence to agreed KPIs and SLAs.
  • Coordinate routine and ad-hoc deep cleaning, pest control, and space refresh activities.

  • Support event setups, office moves, and workplace readiness checks.

  • Liaise with vendors to schedule services, track performance, and resolve operational issues promptly.

  • Review vendor documentation (e.g., service reports, risk assessments, and incident logs).
  • Support the Facilities Manager in procurement activities, including quotation reviews and cost comparisons.

  • Ensure all vendors follow site safety and access protocols.

  • Promote compliance with workplace health and safety standards.

  • Conduct toolbox talks and support HSSE audits.
  • Report and follow up on near misses, incidents, and non-compliance cases.

  • Support sustainability and waste-reduction initiatives.

  • Serve as the first point of contact for employees on soft service-related queries or issues.

  • Communicate service updates, maintenance schedules, and space readiness effectively.

  • Work closely with cross-functional teams (e.g., Culinary, Security, EHS, WPD) to ensure smooth daily operations.

  • Maintain accurate records of daily operations, vendor attendance, and service reports.

  • Assist in budget tracking, invoice verification, and cost allocation for soft services.
  • Prepare periodic performance summaries and operational reports for management review.

Requirements

  • Diploma in Facility Management / Business Admin or related fields
  • Great communication skills in coordinating
  • Knowledge in HSSE
