Job Description – Operations & Logistics Executive

Position Summary

The Operations & Logistics Executive is responsible for ensuring smooth, accurate, and cost-effective medication and consumables management across all District Family Clinics. This role oversees the end-to-end logistics cycle — from receiving deliveries, inventory reconciliation, and stock control, to coordinating urgent orders and maintaining optimal stock levels for clinical operations. The Executive plays a critical role in ensuring medication safety, preventing stockouts, avoiding wastage, and supporting seamless clinic function.

Key Responsibilities

  1. Medication Receiving & Verification

  2. Receive, inspect, and verify all medication and consumables delivered.

  3. Check quantities, batch numbers, and expiry dates.

  4. Flag discrepancies and liaise with suppliers.

  5. Inventory Management & Accuracy

  6. Maintain accurate inventory records.

  7. Track and reconcile stock movements across clinics.

  8. Conduct regular stock audits.

  9. Maintain documentation for controlled drugs.

  10. Stock Level Control Across Clinics

  11. Monitor usage trends.

  12. Maintain standardised par levels.

  13. Investigate abnormal usage variances.

  14. Preemptive Ordering & Replenishment

  15. Forecast demand and initiate timely orders.

  16. Raise purchase orders for routine replenishment.

  17. Coordinate delivery schedules.

  18. Urgent / Special Request Handling

  19. Respond to urgent, ad-hoc clinic requests.

  20. Arrange express delivery or cross-clinic redistribution.

  21. Ensure proper documentation.

  22. Cost Management & Efficiency

  23. Maintain cost-effective HQ stock levels.

  24. Minimise wastage and overstocking.

  25. Propose cost-saving opportunities.

  26. Track budgets.

  27. Operational Workflow Improvement

  28. Maintain and enhance SOPs.

  29. Identify inefficiencies.

  30. Standardise inventory practices.

  31. Compliance & Documentation

  32. Ensure MOH/HSA compliance.

  33. Maintain temperature logs and cold-chain handling.

  34. Prepare audit-ready documentation.

Required Skills & Attributes

  • Comfortable with physical stock handling.

Qualifications

  • Diploma or Degree in Operations, Supply Chain, Logistics, or related fields.

  • 2–4 years relevant experience (healthcare preferred).

  • Experience with inventory systems (e.g., Plato CMS) an advantage.

  • Knowledge of MOH/HSA medication guidelines preferred.

Working Conditions

  • Office/clinic-based with travel between clinics.

  • Occasional evening/weekend work for urgent tasks or audits.
