Job Summary
- Assist Head of Operations in the efficient operations of the medical, diagnostic, and administrative services at the medical centre.
- Support the development of partnerships and new services with other healthcare organisations and work with the Strategic Partnerships Department to provide efficient and quality services to clients.
- Ensure proper record and documentation for all clinic matters.
- Centre Managers are subjected to deployment to other Medical Centres.
Job Description
1.Financial Performance
- Work closely with Head of Operations, Clinical Services and Strategic Partnership Department in the implementation of activities and services to reach revenue targets for the medical centre.
- Ensure a well-governed financial management system including cost and inventory control.
- Prepare and submit monthly financial reports to Head of Operations.
- Tally end of day collection and supporting documents.
2.Clinic Administration and Team Management
- Collaborate with inter-disciplinary team to ensure that clinical and administrative staff requirements are well planned for.
- Work with Head of Operations to enforce all medical centre's policies, standards of procedures and work instructions are in line and adhered to.
- Responsible for the accuracy and completeness of all important documents before dispatch such as medical reports.
- Conduct meetings with inter-disciplinary team to monitor performance of centre and work with Head of Operations and Quality Management Department to improve customer service.
3.Customer Service Quality
- Meet targets for customer satisfaction and net promotion scores
- Work closely with Quality Management Office to identify areas of improvement and implement these changes with Head, Operations.
- Assist Head of Operations in the investigation and follow up on complaints and feedback.
4.Equipment, Supplies and Maintenance
- Work closely with Procurement and Facilities Departments in organising for and keeping proper records of calibration, quality control, equipment inventory, repair and preventive maintenance.
5.Clinical Service Quality
- Work with Head of Operations and Quality Management Office in the implementation and audit of all matters related to the clinic.
6.Others
- Keep up to date with the various service components of Health Screening Packages and all other services rendered at Medical Centres.
- Schedule, co-ordinate meetings when required.
- Support the orientation of new staff as needed.
7.Any other duties assigned by Head of Operations.
Job Requirements
- Degree with at least 8 years' experience, preferably in healthcare operations with at least 3 years in a supervisory role
- Strong interpersonal and communication skills with the ability to negotiate with key stakeholders to reach strategic outcomes
- Self-directed and independent with the ability to work under tight timelines
- An excellent team player who is resourceful and meticulous
- Strong communication and interpersonal skills
- Strong organisational and leadership skills
- Proficient in Microsoft Office with prior experience managing clinic management systems
- Proven ability in leading and advocating change.
- Able to work 5.5 working days
