What You'll Do
As an Administrative Assistant based in Singapore on a one-year contract, you will play an integral part in ensuring the smooth operation of the business unit. Your day-to-day responsibilities will involve managing schedules, coordinating travel logistics for bankers, processing expenses efficiently, maintaining office supplies and equipment, as well as supporting both local staff and visiting colleagues from other offices.
- Provide comprehensive administrative support to the business unit by efficiently managing schedules, correspondence, and documentation to ensure all operations run smoothly.
- Coordinate complex travel arrangements and logistics for bankers and team members, including booking flights, accommodation, transportation, and preparing detailed itineraries.
- Process expense reports accurately and promptly, ensuring compliance with company policies and timely reimbursement for staff.
- Perform general office administration duties such as maintaining office supplies, overseeing equipment functionality, and liaising with vendors as needed.
- Work closely with IT desk/floor support to guarantee all phones, computers, and related technology are functioning optimally for uninterrupted workflow.
- Manage seating plans for new hires and assist with planned moves within the office to facilitate smooth transitions and optimal workspace allocation.
- Support visiting team members from other offices by organising local logistics, providing orientation, and addressing any immediate needs during their stay.
- Undertake ad-hoc duties as assigned by management, demonstrating adaptability and willingness to contribute wherever required.
- Maintain accurate records of office assets and supplies while proactively identifying areas for process improvement or cost savings.
- Foster positive relationships across departments by acting as a reliable point of contact for administrative queries and requests.
