**Executive Secretary to CEO/Department Secretary

**About the job**

**Duties and Responsibilities**
- Provide a complete secretarial and personal assistance for the CEO such as maintaining calendar and diary, managing travel arrangements, taking meeting minutes, receive and screen phone calls, handle office and personal documentation in an organised approach and prepare necessary expense statements.
- Maintain petty cash, handle day to day banking such as account opening, and cheque issuances.
- Travel co-ordination / Visa and accommodation Arrangements for staff. Source flight schedules & accommodation for sales trip.
- Prepare expense claims for executive staff and liaise with finance for payments
- Manage sales master contact list and updates
- Send birthday / festive e-cards to clients
- Manage sales calls/ meetings schedule and agenda (SG and overseas travel)
- Update generic sales materials (sales catalogues / flyers) - ad hoc basis
**Requirements & Skills**
- 5+ years of proven experience as an executive secretary
- LCCI Private Secretarial Diploma preferred
- Self-starter and excellent team player looking for a long-term career
- Undertaking company secretarial procedures
- Excellent organizational and time-management skills
- Strong written and spoken skills in English language plus one spoken Asian vernacular language is a must
- Outstanding communication and negotiation abilities
- Professionalism, Integrity and confidentiality
- Administrative writing and reporting skills
- Taking dictation and minutes and writing them up subsequently
- Producing reports and presentations
- Acting as the point of contact between the executives and internal or external colleagues
- Organising meetings and booking meeting rooms
- Handling correspondence directed to managers
- Making travel arrangements and detailed travel itineraries
- Maintaining the current filing and database system, and looking for ways to improve current systems
- Proficient in MS Office
- Must possess experience working in multinational corporations
- Able to work in a fast pace working environment
