The Executive Secretary to the Managing Director plays a crucial role in providing high-level administrative support to ensure the efficient operation of the executive office. This position requires a proactive and organized individual with strong communication skills, attention to detail, and the ability to handle confidential information.
**Responsibilities**:
- Prioritize and manage the Managing Director’s schedule, ensuring alignment with organizational priorities.
- Coordinate and schedule internal and external meetings, including client appointment, team meetings, and industry events.
- Anticipate scheduling conflicts and proactively resolve them.
- Act as primary point of contact for the Managing Director, handling communications with professionalism and ensuring prompt responses.
- Manage and filter incoming calls, providing relevant information or redirecting inquiries as necessary.
- Prepare comprehensive meeting agendas, ensuring that all necessary materials are distributed in advance.
- Coordinate travel arrangements, taking into consideration time zones, visa requirements, and travel preferences.
- Handle confidential information with the utmost discretion and sensitivity.
- Establish and maintain an efficient electronic and physical filing system, making information readily accessible.
**Requirements**:
- At least a Diploma in Business Administration, Secretarial Studies, or a related field is preferred.
- Minimum 5 years’ experience as an executive secretary or similar role, preferably in the asset management industry.
- Excellent written and verbal communication skills with the ability to interact professionally with diverse stakeholders.
- Strong organizational and multitasking abilities to handle a variety of tasks simultaneously.
