DESIGNATION : Manager (Faculty Admin), School of Computing and Information Systems

RESPONSIBILITIES
- Adjunct Faculty
- Oversee and manage the entire function of adjuncts’ recruiting, hiring and onboarding:

- Liaise with undergraduate team to determine the number of headcounts required for each term
- Put up requisitions for adjunct headcounts including prepare and submit Job-bank postings
- Prepare summary of applicants for Associate Dean’s (Undergraduate Education) evaluation
- Prepare offer letters and the other required forms for adjuncts’ hiring and payroll processing
- Attend to and manage adjuncts’ start-work process
- Maintain and ensure compliance to government’s regulatory policies and SMU’s/SCIS’ policies and guidelines
- Any other admin work related to the function
- Manage adjuncts’ forecast and budget
- Work closely with SCIS budget team to ensure sufficient funds are budgeted
- Communicate all changes and ensure updates in forecast/budget are recorded
- Additional Teaching Engagement (Internal)
- Work closely with SCIS Associate Dean (UG) and team to confirm the number of additional work engagement required per term
- Manage the additional work engagement taken on by SCIS faculty and staff
- Review and ensure compliance to SMU policies and guidelines
- Conference/event organization and management
- Guide the SCIS faculty organizer in planning the budget for the conference/event.
- Manage revenue and expenses of events and conferences to ensure completeness and compliance
- Liaise with SCIS faculty hosting the event and the external professional organization of the event on all financial matters
- Ensure adherence to all SMU policies
- P&L reporting and transaction reconciliation
- Prepare report/statement for audit when required
- Provide admin and logistics support to the conferences/events
- Prepare reports and statements for audit after the conference/event
- Any other admin support when required

QUALIFICATIONS
- Degree with 3 years of relevant work experience or a good diploma with minimum 5 years of relevant work experience, preferably in the education industry
- Analytical and meticulous with an eye for details.
- A good team player who is also resourceful and is able to work independently
- Able to multi-task and work under pressure
- Possess strong interpersonal and communication skills (good verbal and written communication skills)
- Strong planning and organizational skills
