
Faculty Relocation and Logistics Coordinator

The post holder will be responsible for immigration related matters for resident and non-resident faculty in Singapore. The job holder will be responsible for the onboarding of faculty joining the Singapore campus, as well as the relocation logistics for new faculty and faculty moving to Singapore/Abu Dhabi. The job holder will be managing the logistics for meetings, Faculty lunches etc. on the Singapore campus and will provide ad-hoc support to the Faculty Administration team as required.
**Main responsibilities**:
- Manage relocation logistics and onboarding for new faculty joining the Singapore campus/transferring to Singapore from another INSEAD campus. This will include maintaining and updating a welcome pack, and maintaining accurate information on Singapore/INSEAD-related matters to send to faculty.
- Coordinate relocation logistics for faculty moving to the ABD campus.
- Manage immigration matters for resident faculty based in Singapore, i.e., renewal of One Pass/Employment Pass/Dependent Pass for faculty family members.
- Manage accommodation, and where applicable immigration, for non-resident faculty staying in Singapore for short visits throughout the year.
- Support the logistics for different types of faculty-related meetings such as faculty lunches, Faculty Meetings i.e., booking rooms, ordering catering, taking attendance, and other ad-hoc assistance.
- Responsible for sourcing and maintaining relationships with external suppliers relating to relocation i.e., hotel/serviced apartment contacts.
**For this role we are looking for the following attributes**:
- Minimum diploma holder
- At least 3 years of experience in a similar role, preferably in a higher education or international environment.
- Excellent communication and interpersonal skills, with the ability to work effectively with diverse groups of people, including faculty, staff, and external suppliers.
- Knowledge of Singapore's immigration laws and procedures, and experience in managing immigration matters for expatriates.
- Proficiency in Microsoft Office and experience with travel and logistics software.
- Ability to work independently and as part of a team, with a strong sense of accountability and attention to detail.
