Our Asian Legal Business (ALB) is looking for someone to provide support in marketing projects, website management, management reporting, onsite/virtual/hybrid events, as well as general sales operations and administrative matters.
**About the Role**
As a Senior Administrative and Project Coordinator, you will:
- Provide professional secretarial and administrative support to Head of Department, exercising confidentiality, tact and diplomacy and providing a high level of service.
- Manage documentations for Head of Department and larger Media Sales team, including issuing sales contracts, supporting PowerPoint presentations, business proposals, PO & invoices, vendor contracts etc.
- Manage team meetings including calendar invites, venue booking, catering and liaison with facilities team for coordination purposes
- Write marketing briefs, create and/or support marketing projects
- Coordinate between managers and teams located in offices across Asia, ability to work with a diverse team across different time zones and cultures.
- To update timely business updates, analyse and prepare reports for presentation purposes to support Head of Department, prepares complex and confidential documents, and works closely with Managers in department.
- Onsite event support within Singapore and other event-related tasks as assigned
- Act as a point of contact for internal and external stakeholders as required
- Requires flexibility, high adaptability in a face pace environment with excellent interpersonal skills.
- May work on ad-hoc projects.
**About You**
As a Senior Administrative and Project Coordinator, you should possess:
- Bachelor’s degree in any field with minimum 3 years of working experience
- Pleasant disposition, ability to work independently and within a team
- Detail-oriented, strong time management and organisation skills, and comfortable with admin paperwork and systems
- Open-minded towards learning new skills, ability to multi-task under timelines.
- Strong written and verbal communication to liaise with regional offices internally and externally
- Initiative for process improvements and willingness to learn new tools and systems
- High proficiency in Microsoft Office Tools. Proficiency in Google Analytics, Ariba, Workday and other systems is a plus.
- Fluency in English is critical, advantageous in other Asian language.
