**Summary**

**Administrative Assistant Job Responsibilities**:

- Provides administrative support to ensure efficient operation of office.
- Answers phone calls, schedules meetings and supports visitors.
- Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
- Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
- Prioritize inquiries and requests in close coordination with our Senior Staff, while troubleshooting scheduling conflicts effectively.
- Keeping our Senior Staff well informed of upcoming commitments, following up and making any necessary changes.
- Manage a global calendar in coordination with our top global stakeholders for committee meetings.
- Handle all the business-related issues for, and oversee special projects as assigned by the Senior Staff.
- Solve any issues in real time.
- Build working relationships with key stakeholders and their relevant staff.
- Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.
- Supports team by performing tasks related to organization and strong communication.
- Develops administrative staff by providing information, educational opportunities, and experiential growth opportunities.
- Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
- Provides information by answering questions and requests.
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
- Check and record employee reimbursement.
- Prepare and manage the payments cycle for outsourced vendors and recruitments companies.
- Complete monthly and yearly submissions to the tax authorities (social security, VAT, etc).
- Manage monthly and yearly-end closings.
- Perform HR related duties at the Administrative level and carry out responsibilities in some of following functional areas: new hire, orientation, employment, labour relations, leave administration
