Jindu F&B Equipment Singapore is a newly set up manufacturing, wholesale and trading company that specializes in Chinese Kitchen Equipment. Supported by stakeholders in the industry from China, Jindu F&B aims to provide consultancy in designing and installations for clients’ kitchen operational needs as well as the manufacturing and distribution of kitchen equipment to central kitchens of restaurants, hotels, and schools in Singapore.
With this new and exciting business expansion phase, our General Manager is currently looking for a Personal Asisstant to shadow him to assist with planning, managing, and executing daily communications with potential clients and suppliers.
As a Personal Assistant, you will be the first point of contact for our leader and play a pivotal role in managing calendars, scheduling appointments, and coordinating travel arrangements. Exceptional organizational skills are essential. The role extends to handling, maintaining, and proactively addressing administrative and logístical challenges to optimize the GM's time.
In addition to providing administrative support, the Personal Assistant will be also be expected to coordinate meetings, prepare logistics and agendas for internal meetings. Timely dissemination of information to internal and external stakeholders is crucial, requiring strong communication skills.
**Responsibilities**
- Provides high level administrative support to managing calendars, scheduling meetings, and coordinating travel arrangements.
- Conduct research and prepare reports, presentations and other materials as requested.
- Draft, review, and proofread correspondence and other documents for the GM.
- Manage projects as assigned, ensuring timely completion and delivery.
- Maintain confidentiality of sensitive information and handle it with utmost discretion.
- Facilitate internal communication (e.g. distribute information and schedule presentations).
- Perform other duties as assigned.
**Qualifications**
- Bachelor's degree or equivalent
- Ability to handle multiple tasks while staying organized
- Minimum 2 years' similar or relevant positions
- familiar with the usage of MS Office.
- Familiarity with online calendars and cloud systems.
- Experience exercising discretion and confidentiality with sensitive company information.
- Good time management & ability to prioritize duties.
- Spoken and written Mandarin fluency is preferred to communicate with our stakeholders in China.
