**About Us**:We are a luxury bridal boutique specializing in the rental of exquisite bridal gowns, offering a seamless and personalized experience for our clients. We are seeking a dedicated and highly detail-oriented Senior Executive, Admin and Operations to join our team.
**Key Responsibilities**:
- **Bookkeeping and Financial Oversight**:
- Handle day-to-day bookkeeping and maintain accurate financial records.
- Collect payments from clients and ensure timely invoicing.
- Verify the accuracy of invoices and process payments to vendors.
- Produce detailed monthly financial and cash flow statements for management review.
- Monitor and reconcile bank accounts and financial transactions.
- **Operational Workflow Management**:
- Plan and schedule the operational workflow for seamstresses, ensuring timely alterations and gown readiness.
- Ensure timely alterations and delivery of gowns to meet client deadlines and exceed expectations.
- **Shipping and Logistics**:
- Coordinate international shipping of gowns, ensuring timely and cost-effective delivery.
- Manage customs and shipping documentation to prevent delays.
- **Vendor Management**:
- Oversee third-party dry-cleaning vendors to maintain quality standards and negotiate cost efficiencies.
- Build and maintain strong relationships with vendors to ensure consistent service quality.
- **Inventory Management**:
- Track and manage inventory levels of gowns and accessories.
- Implement inventory control measures to minimize loss and ensure availability of key items.
- **Scheduling and Planning**:
- Coordinate schedules for fittings, alterations, and gown collections.
- Communicate effectively with clients and internal teams to ensure seamless scheduling.
**Requirements**:
- Minimum of 3 years of experience in administrative or operational roles, preferably in luxury retail or bridal services.
- Strong organizational and multitasking skills with excellent attention to detail.
- Experience with bookkeeping and familiarity with accounting software is a plus.
- Proven ability to manage vendor relationships and negotiate effectively.
- Knowledge of inventory management systems and processes.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team in a fast-paced environment.
- Strong problem-solving skills and a proactive approach to operational challenges.
