FPG Food Services operates more than 100 outlets across Singapore where customers can delight themselves with a wide selection of food choices. The F&B Management Business Division, Food Centre Formats (FCF) operates the food and beverage counters in each of the outlets selling drinks, popular local delicacies such as Dim Sum, Desserts, and Fruits (depending on the footprint and location).
DESIGNATION : Assistant Administration Manager (F&B Management)
RESPONSIBILITIES
Reporting to the Head, F&B Management, the Assistant Administration Manager is responsible for the organization of administrative processes in the business division. He/She will work with the area managers and 100 outlet supervisors in overseeing the sales and cost administration, ensuring that records and reports are made available in a timely and accurate manner.
The Assistant Administration Manager also works closely with other business partners and shared service centers in the Fairprice Group, as well as third party service providers, to provide seamless administrative support to the business division and its outlets. He/She will work closely with the core administration team within FCF.
**Key Responsibilities**
- Defines division, area and outlet administrative processes for efficiency and effectiveness
- Controls sales and cost administration, ensuring timeliness, accuracy and availability of records and reports
- Provides guidance to the area managers and outlet managers, setting standards of excellence
- Coordinates day-to-day administrative functions with business partners, shared service centers and third party service providers (e.g. payroll, invoicing, insurance, licensing)
- Advises management on end-to-end administrative processes, and on regulatory / audit compliance
- Tracking and monitoring of portfolio and outlet performance metrics, recommending interventions as necessary
- Represent the business unit in administrative matters e.g. SAP and Data Management
- Work closely with internal stakeholders and external stakeholders on billing matters
- Manage customer feedback with Operations and functional stakeholders
- Perform regular review of system and processes to improve operational efficiency and agility
- Support audit activities
- Support and assist ad-hoc requests from stakeholders
QUALIFICATIONS
- Degree/Diploma, preferably in business administration, accounting or real estate
- 3 to 5 years of relevant experience
- Organised and meticulousSelf-starter - ability to figure out what needs to be done and get things organized with mínimal supervision
- Strong people manager, able to coordinate workflow and workload across teams
- Digitally savvy; familiarity with business systems a strong plus (e.g. SAP, POS, Tenant Management Systems, payment systems, etc.)
- Familiarity with compliance matters (statutory, regulatory and audit)
- Prior experience in the service industry preferred, especially in food services
