Job Description: Senior Executive, Admin & Finance (Grants Department, 1 year)
Position Overview:
As a Senior Executive in the Admin & Finance Department, specifically within the Grants Department, you will play a pivotal role in managing financial and administrative tasks related to grants and funding. Your primary responsibility will be to ensure efficient financial operations and compliance with grant regulations. This is a temporary position for a duration of one year.
**Responsibilities**:
1. Financial Management:
- Oversee the financial aspects of grants, including budgeting, forecasting, and expenditure tracking.
- Prepare accurate financial reports and statements for grant funders and internal stakeholders.
- Monitor grant expenditure and ensure compliance with financial regulations and grant agreements.
- Collaborate with the finance team to streamline financial processes and improve efficiency.
2. Grant Administration:
- Prepare grant proposals, budgets, and financial justifications in collaboration with program managers.
- Conduct regular reviews of grant agreements and contracts to ensure compliance with funding requirements.
- Coordinate with grant funders and stakeholders to address queries and provide necessary documentation.
3. Compliance and Reporting:
- Ensure adherence to all financial regulations, policies, and procedures related to grants.
- Perform regular audits and internal control checks to identify and mitigate any financial risks.
- Prepare and submit timely financial reports to grant funders as per their requirements.
- Assist in conducting external audits and provide necessary documentation and support.
4. Team Collaboration:
- Collaborate with cross-functional teams, including program managers, finance, and administrative staff, to ensure smooth operations and effective grant management.
- Provide guidance and support to junior team members, assisting them in understanding grant regulations and financial processes.
- Assist in training staff on grant-related financial matters and best practices.
Qualifications:
- Bachelor's degree in Finance, Accounting, Business Administration, or a related field. A Master's degree is preferred.
- Proven experience (minimum 3 years) in grants management, financial administration, or related roles.
- Strong knowledge of financial management principles and practices, particularly in the grants domain.
- Familiarity with grant regulations, compliance requirements, and reporting standards.
- Excellent analytical and problem-solving abilities with a keen eye for detail.
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Exceptional communication skills, both written and verbal, to effectively liaise with stakeholders.
- Ability to work independently, as well as collaboratively in a team-oriented environment.
Note: This is a temporary position for one year, specifically in the Grants Department.
