**Role and Responsibilities**
The HR & Admin Executive plays an important role in supporting the HR & Admin Team in Human Resources activities and general office supports.
**General Affairs and Administration**:
- Overseeing general affairs related to tasks such as office supplies, despatch of documents, vendor relations and etc.
- Participate in maintaining and organizing management meetings.
- Support the preparation of meeting minutes and reports for distribution to stakeholders.
- Handle management of major staff meetings and annual events of the organization.
- Assist in the management and HR & Admin Team to distribute the company notifications.
- Organize and schedule monthly and annual operations, such as agendas, meetings, logistics, luncheon arrangements, and travel plans.
- Booking conference rooms or halls as well as audiovisual equipment.
- Prepare documentation based on instruction of HR & Admin team and Management team.
- Perform clerical and admin tasks such as receiving calls, arranging appointments and ordering workplace supplies.
- Handle printing and collating work.
- Handle phone calls and convey important messages on time, every time.
- Maintain confidentiality with crucial data of the organization.
- Provide support to new recruits with facilities and necessary assets.
- Provide other administrative support to Singapore team or visitor to Singapore office and take on other ad-hoc duties as assigned by HR & Admin Team or the Management.
**HR Supports**:
- Support HR & Admin Team efforts in recruitment and onboarding of new staff, including arranging interviews, and follow-up actions.
- Organize team events, as per instructions of HR team.
- Assist all aspects of payroll matters accurately and on a timely manner.
- Promptly and effectively assist staffs’ medical and insurance claims.
- Maintain and update all assigned HR records in a complete, timely and organised manner, particularly P-Files, regulatory documents, HR manual and employee handbook.
- Provide other HR support and take on other ad-hoc duties as assigned by HR & Admin Manager or the Management.
**Requirements**:
- At least 2 years of relevant work experience as above.
- Familiar with BIPO HR System will be an advantage.
- A team player with a strong sense of responsibility & self-motivation to get tasks done independently.
- High integrity, strong interpersonal and communication skills (written and verbal).
- Analytical, resourceful, well-organized, and meticulous with an eye for details.
- Basic knowledge of Employment Act will be an advantage.
- Able to start immediately or within a short notice.
