**Roles & Responsibilities**
- Providing full administrative support to departments;
- Carrying administrative duties such as answering incoming calls, receiving and sorting and distributing mails, filing, copying, etc;
- Assisting in sales inquiries from both local and overseas customers;
- Assisting in the preparation and organizing of promotional materials or events;
- Updating and maintaining customers' and suppliers' information in the company's database system;
- Preparing sales quotation/order/delivery/invoicing/customer's payment;
- Preparing month-end sales report;
- Updating and sending monthly Statements of Account to customers;
- Maintaining and updating filing systems, sales reports, office policies, and procedures;
- Taking minutes of meeting and performing data entries accurately;
- Taking and ordering office and pantry supplies;
- Liaising with Operation Department on product delivery, collection, shipping arrangement;
- Liaising with freight forwarder to coordinate shipments and preparing shipping documents i.e. Proforma Invoice and Packing List.
- Verifying invoices from external service providers for accounts to make payment;
- Attending to banking matters, incoming funds cash/deposit, updating payment status and any work-related errands;
- Make travel arrangements for staff;
- Any other ad-hoc administrative support for the sales and operations team.
