What will you be doing?
We have an exciting opportunity for you to join WMG as our Executive Assistant to our Group President. This Executive Assistant will provide the Group President with a high level of strategic analysis, research and process improvement studies to support a complex and varied portfolio of the Group President.
Your responsibilities include, but are not limited to:
- Providing extensive staff work to support the various projects of the office of the Group President.
- Assist Group President in producing high-quality reports, documents and presentations using advanced computer skills.
- Manage telephone calls, field inquiries, letters, and requests and use judgment to escalate urgent matters for Group President’s attention.
- Produce weekly and monthly reports with the ability to synthesise information from different business units.
- Organise and support meetings, including scheduling, preparing agendas, for top level meetings with key partners and clients.
- Proactively track, file, and archive key business information, including contracts and business documents, to ensure we can easily reference data in the future and meet audit requirements, looking for ways to improve current systems.
- Organise travel and accommodation arrangements for work trips.
- And any other ad-hoc task as instructed by the Group President.
What we’re looking for in you:
- Degree in Business Administration or related specialization.
- Strong computer skills (Microsoft Office Suite - Outlook, Word, PowerPoint, and Excel)
- 5 years of experience in a senior role, best with managerial experience.
- Proven ability to execute on tasks independently with zero to mínimal guidance
- Ability to prioritize workload and manage deadlines is a must. Adaptable to last minute and developing events whilst still maintaining composure
- Reliable, self-motivated, intuitive, and proactive
- Possess a positive, flexible, and collegiate approach with the ability to contribute to the team
- Ability to build effective relationships at all levels, demonstrating confidence in dealing with senior staff across the Group
- Proactive and strong administrator and organizer, with excellent attention to detail. Must be committed to maintaining and organising a shared OneNote for tracking of administrative tasks.
- Able to flex approach to meet the different approaches to each Manager’s requirements and preferences
- Effective verbal and written communication and people skills
- Able to exercise good judgment in handling various issues on priority basis, and meet tight deadlines
