The role has accountabilities working within IHH Healthcare Singapore, CRES to ensure that all aspects of the Real Estate and Workplace (REW) function are well managed and well operated to provide a safe and productive work environment for stakeholders and staff. We envision the individual to:
1. Support the Workplace Community Manager in managing a team of Community Specialists and Ambassadors to manage the various Corporate Offices as a conducive environment for activity-based working.
2. Actively plan social events calendar in advance to build a sense of community amongst colleagues; lead communication strategies to engage the Community
3. Assists in operational and administrative aspects of the workplace, inclusive of reception concierge, tracking the supplies inventory and expenses within budget
4. Look into workplace trends, solicit feedback and work on improvement initiatives.
5. Lead customer service excellence, to go above and beyond to act and curate experiences with consistent and sustainable value for our stakeholders and end-users.
6. Clearly understand our organisation’s objectives and values, and aligning them to the way we work to ensure that our delivery is customer-centric.
7. Be flexible and may need to oversee multiple workplaces
8. Support other assignments from the Workplace Community Manager.
**Key accountabilities**: a. Work closely and guide the team of Workplace Community Specialists and Ambassadors to provide a warm, welcoming experience to assimilate and induct all stakeholders to the workplace. To provide concierge and technology introduction services to users.
b. Assist the Workplace Community Manager in identifying workplace trends and usage, review and improve house rules for neighborliness use of space
c. Review proposals and work with the team to carry out regular Community events/activities for colleagues' participation and celebrations in accordance with festive events
d. Develop and enhance communication strategies for community events to the colleague at the workplace
e. Work with stakeholders to coordinate and facilitate the setup of workspaces for meetings, or conversion to town hall and/or events
f. Supervise and oversee performance of soft and hard aspects of FM services and relevant contracts
- environmental cleaning, pest control, landscaping, café operations, security, mailroom etc.
g. Facilitate tours of the premises for visitors and newcomers; assignment of resource booking accounts, lockers, and access cards g. Administrate the space utilization and booking system. Provide support on video conferencing technology.
h. Prepare work roster for colleagues and leave coverage, if required.
i. Ensure inventory management and sufficiency of workplace supplies such as stationery, printing supplies and other consumables.
j. Oversee sufficient purchases of refreshments and pantry supplies in line with the budget provided
k. Garner feedback from colleagues for continuous service improvement at the workplace
l. Keep abreast workplace innovations for possible implementation.
**Qualifications & Experience**: a. With at least a Bachelor’s Degree, preferably in Hospitality or Business
b. Minimum 5 years’ prior experience in a multinational hospitality or hotel background
c. Prior experience in a supervisory role is required
d. Excellent written and verbal communication skills
