**Personal Assistant**
Reporting directly to the Managing Director, the Personal Assistant will act as his right-hand person providing wholistic support on the personal and executive/business levels. The Personal Assistant will serve as the first and primary point of contact and interface with numerous internal and external parties, global business contacts, partners etc. Maturity, excellent communication (both verbal and written) and interpersonal abilities are therefore critical. Given the need to support the MD across varied demands, the propensity to take initiative, the ability to prioritize and balance multiple tasks, superb attention to details and the ability to work effectively in a global, multi-cultural team environment are also important.
**Job Description
Business
- Daily life management - schedule/calendar and travel management, including ticketing and trip planning
- Work management - help manage MD’s Asana and project list, prioritize, divide work, prepare for meetings, conduct research etc.
- Project management - Help MD execute and follow up with projects, and assistant can propose new projects as well
- Assisting the MD drive company culture, including speaking to new staff during onboarding, planning and driving staff engagement activities, scouting for learning programs or speakers for staff etc.
- Dealing with counterparties, including designers, contractors, consultants, bankers etc.
- Events & guests - Attend events or receive guests with or even without MD if need be, plus take lead or assist in organizing internal events
- General administrative support - collating and filing expenses, work with internal stakeholders on paperwork that requires MD’s information or involvement, some parts of office management etc.
**Job Requirements
1. Background
- Minimally 10 years of experience providing full secretarial support to C-suite level (less experience could be made up for by strong exposure and experiences)
- Ideally a degree holder, engineering, accounting/finance or legal/paralegal is a plus
- Strong global exposure to high level business environment, preferably finance/trading firms/family offices/investment companies
2. Communication and language
- Strong interpersonal and communication abilities, can manage conversations at all levels and represent MD and BRC
- Culturally sensitive and open-minded to the world
- Ability to speak Mandarin and English is preferred, as there is need to interface with Chinese customers. French would be a huge plus
- Excellent written English is a must

- Strong organizational and multi-tasking abilities
- Ability to work under pressure in a constantly changing environment
- Ability to handle sensitive business communications, data and other information with professionalism confidentiality and discretion, both internally and externally
- Ability to work independently with mínimal supervision and meet deadlines
5. Skills
- Strong command of MS Office
6. Flexibility
- Open to travelling when needed, but no expectation to be on all trips
- Willing to work flexible hours, if necessary, when MD is travelling or beyond normal office hours where required
