National Gallery Singapore is a leading visual arts institution which oversees the world’s largest public collection of Singapore and Southeast Asian modern art. It was the first museum in Asia to receive the Children in Museums Award by the European Museum Academy and Hands On International Association of Children in Museums in 2018. The Gallery also won the awards for “Best Theme Attraction” at TTG Travel Awards 2017, “Best Attraction Experience”, “Breakthrough Contribution to Tourism” and “Best Customer Service (Attractions)” at the prestigious Singapore Tourism Awards in 2016 for its role in adding to the vibrancy of Singapore’s tourism landscape.

DESIGNATION : Senior Executive/ Assistant Manager (Procurement)

RESPONSIBILITIES

**Procurement**:

- Conduct onboarding to new joiners on procurement and assist with the review of training deck
- Provide guidance and assistance to users on procurement matters
- Perform scheduled review related procurement that includes open POs and split purchases, etc.
- Update of procurement quick guide and FAQ
- In charge of Procurement process including endorsement of Direct Contracting request, issuance of RFP/ Tender Reference number and opening of tender submission
- Assist vendors on Coupa enquiry
- Participate in UATs when required
- Support Internal and External audits include collating of documents and answering to queries
- Assist in Procurement Policy review
- Contribute to continuous improvement to current procurement procedures/ workflow

**Staff Expense & Credit Cards Claims**:

- Provide guidance to Gallery staff to familiarize with expense claim processes and answer queries from staff in relation to expense claim processes and policy
- Process staff expense claims and payment through Coupa and SAP ByDesign
- Monthly review of Local Transport expenses and seeking endorsement from HOD
- Handling Corporate Credit Cards Management including verifications and posting in Coupa and SAP ByDesign
- Onboarding of new Corporate Credit Card holder in Coupa including integration with Bank
- Expense Delegate for Head of Finance on submission of Corporate Credit Card expenses
- Contribute to continuous improvement to current procedures/workflow

***Supporting Finance team**:

- Assist in ad-hoc duties as assigned by Reporting Officer

QUALIFICATIONS
- Minimum Diploma in Accountancy
- Minimum 3 years’ experience in procurement related work
- Experience with Coupa will be advantageous
- A self-starter who is able to plan, organise and take initiative to meet job objectives and deadlines independently
- Strong interpersonal skills and ability to develop close working relationships and work collaboratively with internal and external stakeholders at all levels
