**Why you're here**

As the Client Solutions and Administration Coordinator, you will directly support the Asia Client Solutions leadership team and provide administrative support to assist the team on delivering strategic priorities in a timely manner. You will be an essential part of the team, and integral to keeping team members aligned, providing timely administrative support as initiatives are launched, and coordinate company client events.

**Responsibilities**

**Client Solutions**
- Support Client Solutions leadership with accurate and up-to-date information about sales progress and forecasts - including thorough sales reporting and dashboards
- Help manage schedules and coordinate meetings with internal/external stakeholders for the Asia Sales team
- Drive and manage regional Sales meetings, and ensure the sales teams stay aligned behind
regional goals
- Coordinate Sales training, on-boarding and support to the Asia Sales team as needed
- Be the Asia Salesforce superuser and play an active role within the global superuser group
- When requested, conduct desktop research to support the sales team in their business development efforts. Example - researching particular companies/ contacts/ industries/ events
- Assist the Client Solutions and Strategy lead with presentation material
- Assist the Client Solutions and Strategy lead to monitor and drive the KPI's within the Sales team by producing a quarterly report on individual's progress
- Monitor and drive data hygiene within Salesforce by regularly reviewing available reports such as Pipeline Gap
- Process early sales data and assist in preparing packs for presentations
- Organise and manage events in Singapore led by Client Solutions such as Sensemaking events and social networking events
- Monitor industry websites such as CoreNet, and others at the request of the Client Solutions and Strategy lead, on a monthly basis and make the team aware of networking events available to attend, assisting with ticket purchases and registration

**Administration**
- Contributions to the development and implementation of administrative services or initiatives, aligning to Company standards
- Management of the Administration budget
- Effective and accurate monitoring of supplies and budgets and attempting to solve issues as they arise
- Onboarding of new team members, including access cards, IT requirements, medical insurance, name cards etc
- Proactively work with the other studios to ensure best practice in processes across the regions/globally
- Organise end-to-end travel for team members based in the Singapore studio and other Asia studios when required
- Maintain the Singapore and Hong Kong studio pages on The Portal (internal intranet). The India Administration and Client Solutions Manager will maintain the India page
- Manage the professional headshots process for strategic hires (Senior Associate level and above) in Southeast Asia and Hong Kong
- Upload headshots and project imagery to Open Asset for Southeast Asia and Hong Kong
- Assist the Asia Leadership Team, with general administrative tasks from time to time. Example - rolling out an office etiquette plan or onboarding team members to the filing methodology
- Coordinate all team events for the Singapore studio. Example - end of year event, All Hands, etc.
- Maintain the Team Asia calendar by encouraging all people managers and team members to update it accordingly
- Maintain the Team Asia folders for file sharing
- Be the customer interface and point of contact for the Singapore studio for all employees (locally, regionally and globally) vendors, suppliers, contractors and general public
