Administrative Executive

The Administrative Executive performs the administrative transactions for the Organisation, business travel coordination as well as the office facility management.
**Your tasks**:
1) Ensure smooth running of day to day business operations in the Organisation.
- Execute the day-to-day operations of the administrative department to ensure adherence to policies and regulations
- Propose and execute improvement on business administrative operations, process and procedures
- Ensure the office is adequately supplied with the necessary office supplies. Raise purchase requisition
- Coordinate the flow of the communication in the office such as mails, fax, calls and queries to reach the intended audience of the Organisation in time
- Provide front line service by answering and screening incoming phone calls, directing to relevant parties and noting important messages
2) Provide business services to the business
- Update statistics reports, budget and expenses report on regular basis
- Provide guidance on business travel, handphones, mobile usage, name cards and etc.
- Organize and coordinate Organisation events and activities
3) Oversee and monitor office facilities to ensure a safe, comfortable and conducive working environment
- Oversee the maintenance of the office facilities, assets and equipment necessary for business operations are in optimal working condition
- Monitor and coordinate activities relating to office facilities such as recycling of papers, renovations work, cleaning and services work
4) Monitor budget and expenses relating to business services
- Monitor budget and expenses related to business travel, mobile usage, office inventory expenses to ensure adherence to the Organisation policies and guideline
- Participate in budget exercise
**Your profile**:
- At least a Diploma in business administration, facilities management or equivalent certification with relevant experience
- Possesses at least 5 - 8 years of experience in an Administrative department of a Multinational Corporation (MNC)
- Meticulous, organised, and detailed oriented
- Good interpersonal and communications and has the ability to multi-task
