**Job Description**:
**Primary Objective**

Provide administrative support for the technology department related to procurement, administration and financial budgeting, tracking and reporting:

- Provide administrative support and management reporting for technology departments.
- Helps coordinate and collate information, i.e. Budget management for technology CAPEX & OPEX.
- Coordination on all technology department meetings, meeting minutes write up, and tracking of issues follow-up.
- Project cost tracking.
- Liaison with Malaysia HQ on mgmt. reporting.

**Key Responsibilities**

Strategy, Planning, Mgmt. Reporting
- Co-ordinate the yearly budgeting for IT expenditures and investments.
- Co-ordinate the accruals carry over to next financial year.
- Co-ordinate the capex carry forward to next financial year.
- Co-ordinate, compile and table Mgmt. reports to update on IT status relate to financials (SG ITSC, RIMC, SG MANCO).

IT Operations
- Manage technology department budget.
- Track IT related spend against budget. Determine if budgeted or unbudgeted.
- Review memo against checklist and signoff, handle memo sign that go to finance and Country head.
- Maintain memo and PO template.
- Track and issue CAPEX and memo OPEX IDs.
- Process technology related invoices through PI process.
- Conduct annual technology vender review for existing vendors.
- Conduct new vendor onboarding.

Application and Systems Development / New Platform Acquisition
- Track project expenditures against budget.
- Issue capex memo for project related spend and do memo review and signoff.
- Initiate and lead improvement initiatives.

Regulatory and Procedural Expertise
- Keep up to date and refreshed on required reading related to guiding how IT must be run in a regulated Financial institution. Minimum read list:

- MAS Outsourcing Guidelines
- SG Technology Department Operational Manual (OM)
- SG Procurement Operational Manual (OM)

Other Responsibilities
- Participate in Monthly Technology Department meetings.
- Participate in regular Team meeting.
- Use Department issue and work tracking platform.
- Maintain and keep up to date team knowledge base and assist in updating team document assets such as system manual / standard operating procedures (SOP), and operations manuals.

**Qualifications**:
Formal Education:

- Diploma / Bachelor's Degree / Masters in relevant fields

Preferred level of Experience (by years/function/industry):

- Minimum 3 years of experience handling technology department related financials, procurement and admin working at an established financial services institution based out of Singapore or Malaysia.
- Experience managing vendors

Other skills required:

- Able to work both independently and as part of a team
- Able to deliver results/meet deadlines under pressure and deal with motivated and driven
- Ability to prioritise; Strong analytical ability;
- Excellent written, verbal and interpersonal communication skills
- Independent and resourceful
- Proficient in Microsoft Office
