Primary Objective: To oversee and coordinate the scheduling and execution of all logistics operations related to packing, moving, and overall resource management. This includes ensuring that packers, movers, and drivers are well-prepared and that all logístical aspects are managed efficiently, excluding production activities. Additionally, the role includes managing purchasing functions, including obtaining quotations, processing purchase orders, and liaising with sales personnel for necessary documentation.
Roles and Responsibilities:
1. Advance Scheduling and Planning:
Job Scheduling: Coordinate with sales to receive comprehensive job details, including dates, times, and specific customer requirements.
Resource Allocation: Determine personnel (packers, movers, drivers) and vehicle allocation based on job demands.
Logistics Planning: Ensure necessary resources, personnel, and equipment are allocated and ready for all logistics jobs.
2. Logistics and Operational Coordination:
Site Assessment: Review specific job sites, including site constraints, safety requirements, and any special access restrictions.
Job Preparation: Verify that vehicles, tools, and necessary equipment are allocated for each job.
Real-Time Oversight: Monitor job progress on the ground, keeping in contact with team leads to ensure all tasks (packing and moving) are on schedule and any emerging issues are quickly addressed.
3. Personnel Management and Development:
Staff Roster: Maintain a roster of packers, movers, and drivers available for each day, forecasting staffing needs for all upcoming projects.
Team Briefing: Communicate job requirements, expectations, and any special instructions to personnel.
Training & Certification: Identify required courses or certifications (e.g., safety training, equipment handling) and ensure personnel complete these as needed.
4. Resource and Equipment Management:
Inventory Oversight: Regularly check vehicle, tool, and equipment inventory to ensure readiness for all logistics jobs.
Maintenance Coordination: Schedule routine checks and maintenance to keep vehicles and tools in optimal condition for each job.
Allocation Adjustments: Re-assign resources as necessary, addressing any equipment deficiencies that might delay tasks.
5. Purchasing Functions:
Quotation Management: Obtain and follow up on quotations from suppliers to ensure timely procurement of materials and services.
Purchase Order Processing: Prepare and track purchase orders, ensuring accuracy and timely submission to suppliers.
Liaison with Sales Team: Work closely with sales personnel to chase and collect required documentation such as quotations, purchase orders, and production forms.
