
Associate Executive

Reporting to the Head of Department and admin supervisors, you will provide a diverse range of secretarial and administrative support in the Department of Emergency Medicine and perform liaison function across different departments. Your main responsibilities will include but not limited to:
- Scheduling and tracking of appointments for Head of Department
- Managing the department doctors’ rosters
- Arranging meetings and recording minutes of meetings
- Handling department’s budget and financial matters
- Coordinating medical staff recruitment matters
- Coordinating department performance appraisal
- Coordinating and arranging events, courses, conferences and department activities
- Providing administrative support for medical staff orientation programme
- Updating of Staff Directory and Doctors’ On-call list
- Support in data extraction/ statistics generation
- Collation and submission of documents requested by the Division and other department
- Coordinates administrative function and enforces hospital policy for the department in coordination with all associated departments
- Assisting the HOD/ supervisors to ensure that the department complies with hospital-wide initiatives such as International Organisation for Standardisation (ISO), Business Continuity Plan (BCP), Mass Casualty/ Emerging Infectious Diseases activities
- Establishing, maintaining, processing and updating files, records, certificates, and/or other documents
- Participating in hospital initiatives and activities when assigned
- Supporting Division activities
- Performing miscellaneous duties as assigned by HOD/ Supervisors

**Job Requirements**
- Diploma with 4 years’ relevant experience or Higher NITEC/ NITEC/ GCE N/ O/ A level + 10 years’
- experience and demonstrated competency, preferably from a healthcare related background
- Strong administration and organisation skills
- Preferably with data extraction/ statistic generation experience
- Excellent communication skills, both in spoken and written communications
- Ability to multi-task and work in a robust environment
- Ability to work as a team as well as independently
- Ability to maintain a confidentiality
- Possess positive personality with high initiative
