The Procurement Assistant plays a crucial role in ensuring efficient and cost-effective procurement of equipment, services, and supplies for our fleet. This position involves close collaboration with the Purchasing Manager, vessel crew, and suppliers to meet the operational needs of our ships while adhering to company guidelines and industry regulations.
What you will be doing:
- Assist the Procurement Manager in daily procurement activities, handling ad-hoc tasks as required.
- Develop comprehensive plans for acquiring equipment, services, and supplies, considering factors such as cost, quality, availability, and lead times.
- Review existing administrative procedures and systems, identifying opportunities to streamline and improve efficiency in procurement processes.
- Ensure all procurement activities comply with the organization's purchasing guidelines, procedures, and relevant industry regulations.
- Track costs and expenses related to procurement, contributing to the preparation of accurate budgets.
- Arrange timely and cost-effective shipments of stores and spares via air, sea, and road freight to both local and international ports.
- Conduct occasional inventory and storeroom inspections on ships to understand crew needs, maintain positive relationships, and address procurement-related issues.
**What we are looking for**:
- Minimally a Diploma in supply chain management, logistics, business administration, or a related field.
- Proven experience in procurement, ideally within the maritime or shipping industry.
- Understanding of shipping operations, procurement processes, and relevant regulations.
- Strong analytical, negotiation, communication, and organizational skills.
- Proficiency in MS Office Suite and procurement software.
- Ability to work independently and as part of a team, handling multiple tasks and tight deadlines.
