
Staff Administrative Assistant

Responsibilities/Main Activities:
**Facility Management including and not limited to**:
- Participation of Fire Drill exercise conducted by landlord
- Par-take as Fire safety officer
- Disseminate messages to employees from building management
- Assist to ensure a safe and conducive office environment for employees by coordinating on carpet
- cleaning, aircon servicing, office landscaping & locksmith services, etc
- Participate in renovation or refurbishment project whenever necessary
- Arrange workstations/ hot desk/ lockers/ access card for new joiners
- Arrange workstations/ hot desk/ lockers/ ccess card for guests
- Point of contact with Building Management Office
**Office Management including and not limited to**:
- Courier services, mailing, stationery, and pantry inventory management
- Assist in upkeeping office equipment maintenance
**Administrative Support including and not limited to**:
- Manage travel plans for all employees in Singapore office who are on official business trips
- Sets up and coordinates internal and external meetings, conferences and well-being activities, from planning to liaising with different parties to following up on all agreed actions
- Manage and book accommodation and dinner arrangements for company visitors
- Point of contact with cleaning vendor and co-ordinate and supervise cleaning auntie in her duties
- Manages projects and initiatives as allocated
- Schedule new employee induction meetings
- Support HR manager in year-end tax return
Qualifications and Experience Required:
- Minimum 5 years of relevant experience in managing and hands-on office administrative work
- Minimum GCE ‘O’ level
- Must be a team player, detailed oriented and self-motivated
- Strong organisational, interpersonal and communication skills
- Able to work under tight timeline and ability to multi-task
- Hands on computer knowledge of MS office.Excellent in both spoken and written English.
Position Summary/Purpose:
This position is responsible to provide administrative support to the Singapore office. Ensure the smooth and effective management of office administrative issues and office facility.
