**Job Function
Provide administrative support, provide customer service/concierge service to SP, residential tenants and contractors/vendors, handles the carpark management system, report all defects abnormalities and non-compliance to Executive/Manager In Charge.
**Job Duties**
- Assist with the day-to-day operations and tenant relations through the co-ordination of unit owners/tenants requests and administration of maintenance services.
- Handle the general hotline (feedback and enquiries) for residential and to route the call to the appropriate contact within the Property Management and/or despatch personnel based on immediate needs.
- Provide customer/concierge service to unit owners/tenants on season parking payments, maintenance fees, access card and booking of function rooms, deposits for renovation work, deliveries, moving in and out, etc.
- Provide timely and accurate response to all queries and correspondences from internal and external entities to ensure smooth operations.
- Work closely with technicians/contractors on the maintenance issues of the property and to close all job sheets in the system.
- Process term contract invoices. Issue purchase orders, track contractors work progress and to check that all invoice documents are in order.
- Administrator of Carpark Management System for SP/Tenants. To ensure accuracy of data on updates and renewal, collection of payments and prepare carpark reports to Finance Department.
- Issue and program access cards for SP/Tenants.
- Manage the Hi-Life App and monitor the booking of facilities submitted via the App.
- Assist in the Annual General Meetings and Council Meetings.
- Provide admin support in office stationery and to ensure filing of documents are in order/up to date.
- Cover duty on admin matters for Commercial team when needed.
- Perform other duties assigned.
