Executive Assistant

As an Executive Assistant (EA), you are the secret weapon of the Principal you are assisting. You are a (professional and personal) extension of your Principal and your work impacts his/her company and personal life deeply.
In your role as an EA, there are two things that you will need to do exceptionally well: (i) Free up time for your Principal to focus (ii) Assist your Principal in maintaining meaningful relationships.
To be a great EA, you will need to embody the following traits:
**Confidentiality = Trust**
You will be given a lot of access to important documents, private conversations, management discussions, competitive secrets, hidden lovers (hopefully not), etc. So treat everything that is given to you with the utmost confidentiality. This will enable the people working with you to trust you.
**Be reliable and get things done**
If you do what you say you will do every time, people will trust you and want to work with you. Unreliability negates all good values. Do so by having a tight task management system to track and manage your commitments.
**Be thoughtful and focus on the details**
This is where you shine. Think deeply and spend time covering all the details related to the task. Over time, you should be able to understand the preference of your Principal intuitively and this should be your second nature.
**Job description**:
Professional Support:
- Provide the Principal with a daily briefing of key meetings and reminders
- Assist the Principal with calendar management (e.g. scheduling meetings, deconflicting calendars, etc.)
- Assist the Principal with team matters (e.g. organising team onboardings, birthdays, team lunches, off-sites, etc.)
- Assist the Principal with assigned administrative matters and errands (e.g. travel and dining bookings, submission of expense/insurance claims, buying lunches, buying miscellaneous items, etc.)
- Provide desktop research on key counterparties and maintain Principal’s black book of professional relationships
- Provide pre-meeting preparation
- Other miscellaneous work-related matters to support the Principal
Personal Support:
- Assist the Principal in personal errands (research, gifting, event planning, restaurant/flight bookings, managing travel arrangements and itineraries, insurance claims, booking doctor/dentist appointments, managing contractors for repairs, household purchases, arranging for dry cleaning, etc.)
- Assist the Principal in personal finance matters (generating monthly personal finance reports, arranging payments, managing petty cash, etc.)
Skills Required:
- Extremely meticulous and organised
- Strong interpersonal skills and stakeholder management
- Ability to write well in English
- Ability to demonstrate high levels of care, and empathy while being solution-oriented and a self-starter
- Ability to plan and manage timelines and budgets
- Proficient in Google Suite (i.e. Gmail, Google Calendars, Google Slides, Google Docs, G-sheets)
- Past Executive Assistant experience is preferred
**Working Arrangement**:
- 20 hours/week (Approximately 4 hours a day)
- The Executive Assistant is expected to come into the office three days a week (for 2 hours each day) with all other hours being flexible
- On weekends, no immediate action on assigned tasks is required, unless specifically stated as urgent and time-sensitive. Otherwise, for all other matters, an acknowledgement would suffice.
- Company-issued laptop and mobile phone will be provided
