
Office Assistant

Manage the CEO’s calendar, appointments, and meetings, ensuring effective time management and coordination.
- Prepare and edit documents, presentations, minutes of meeting and reports, maintaining a high level of accuracy and attention to detail.
- Coordinate global travel arrangements, including flights, accommodations, and itineraries, while considering cost-effective options.
- Assist in organizing internal and external events, conferences, and meetings, including logístical arrangements and material preparation.
- Conduct research, gather data, and compile information for various projects and presentations.
- Maintain confidential and sensitive information, exercising discretion and professionalism at all times.
- Assist in managing expenses, banking, credit card optimisation, invoices, and financial documentation, ensuring accuracy, cost optimisation and adherence to company policies.
- Act as a liaison between the CEO and other departments, teams, and external stakeholders.
- Handle personal errands and tasks as directed by the Director, contributing to a balanced work-life for the CEO.
- Assist CEO and his family member in office & personal administration / confidential work / expenses claim/insurance/medical.
- Liaising with government agency on behalf of CEO
- Any other ad-hoc duties assigned by CEO or the Management.
- Personal Vehicle related matters (Road Tax, Inspection, Insurance, Season Parking).
- Handle immigration matters for CEO, domestice helper and overseas guest Office supplies, cleanliness and office facility
**Job Requirements**
- Bachelor's degree in Business Administration, Communications, or a related field (or equivalent work experience).
- Proven experience as an Executive Assistant, Personal Assistant, or in a similar role supporting high-level executives in MNC (CEO, COO, MD and Director etc).
- Exceptional organizational and multitasking skills, with the ability to prioritize tasks effectively in a fast-paced environment.
- Strong written and verbal communication skills in English, including the ability to draft professional correspondence and communication.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Discretion and ability to handle confidential information with integrity and professionalism.
- Excellent problem-solving skills and the capacity to anticipate the needs of the CEO.
- Good at number, strong attention to detail and accuracy in all tasks performed.
- Sincere and hardworking
- Ability to work independently (self-starter without much guidance) and as part of a team, taking initiative and demonstrating a proactive attitude.
- Flexibility to adapt to changing priorities and requirements. Including take call after office-hour occasionally due to different time-zone
- Strong interpersonal skills and the ability to work with individuals at all levels of the organization.
