Tasks

The role will be responsible for office management and business support, as outlined below, reporting to the Chief Operating Officer:

- Ensure the delivery of the operational process to a high standard. Identify opportunities that will continuously improve the office management, procurement, and any additional task that may be required to perform
- Develop office policies and procedures and ensure they are implemented properly
- Be involved in office layout and planning
- Assist in the acquisition of office hardware. Research vendors, conduct price comparisons, place orders and monitor deliveries.
- Create travel itineraries, book flights, accommodations & taxis and handle the issuance of travel/visit visas to foreign countries
- Apply, issue, renew or cancel employment visas
- Assist with administrative work related to reimbursements, scheduling of interviews, managing the team calendars, and liaison with the accounting provider
- Assist in the renewal of company service providers (i.e. IT, Insurance, etc)
- Maintain office supplies inventory and place orders when required
- Liaise with building management to register, activate and deactivate access to the office
- Arrange delivery and courier services for local and international
- Welcome and greet visitors and answer and direct calls
- Be the first point of contact for employees regarding office-related matters

**Requirements**:

- 2+ years in Office Management would be advantageous and proven experience in similar roles
- Solid communication skills both verbal and written in English. Professional demeanour and strong interpersonal skills
- Familiarity with Microsoft 365 apps (Outlook, Excel, Word, PowerPoint...)
- Quick learner, Detailed oriented: Demonstrable thoroughness and strong ownership of work
- Good team player with a strong willingness to participate and help others
- Able to prioritize in a fast-moving environment: High sense of urgency and good time management to prioritize tasks
