Job Title: Office Administrator
The role of an Office Administrator is a dynamic and challenging position that requires strong organizational, communication, and problem-solving skills. The ideal candidate will be able to multitask, prioritize tasks, and maintain confidentiality in a fast-paced environment.
Responsibilities:
- Provide administrative support to senior management staff.
- Maintain office expenses and equipment, including contracts for cleaning services, pantry supplies, vending machines, stationery, photocopiers, and other related items.
- Coordinate internal and external dispatch, including booking flights, arranging visas, and hotel accommodations for staff and guests.
- Manage Jurong Island passes, submit EMA clearance for staff and visitors, and handle site visits by shareholders and clients.
- Prepare purchase requisitions for administrative needs.
- Assist with GRN posting for JI and JTC goods receipt.
- Help vendors scan invoices for SAP and CDMS uploading.
- Order and distribute personal protective equipment (PPE), including safety uniforms, shoes, helmets, and spectacles for staff and visitors.
- Administer contracts for PPE, pantry, stationery, toner items, and laundry services.
- Coordinate with vendors for the collection and delivery of bottled water and other supplies.
- Issue lockers and bicycles to staff.
- Set up workstations with necessary stationery for new employees, including induction materials and staff passes.
- Conduct regular quality checks on vendors to ensure products meet company standards.
- Arrange lunch orders for Jurong Island staff when required.
- Prepare and submit periodic reports, such as attendance records.
- Assist with petty cash claims.
- Maintain keys and administration of carpark decals, including vending machine cards for staff.
- Coordinate meetings via teleconference and in-person.
- Oversee document management systems.
- Provide reception support as needed.
- Perform additional ad-hoc duties assigned by management.
Requirements:
- At least GCE 'O' level or higher, preferably with a diploma in any field.
- At least 1-3 years of administrative experience.
- Excellent verbal and written communication skills in English.
- Proficiency in MS Office, especially Excel, Word, and PowerPoint.
- Strong integrity, good working attitude, hardworking, and willingness to work on Jurong Island.
- Reliable, proactive, responsible, resourceful, and independent.
- Good interpersonal skills and a team player.
- Willingness to learn and take on new challenges in a fast-paced environment.
- Familiarity with SAP is preferred.
