Event Operations Specialist

We are seeking a skilled Event Operations Specialist to oversee and manage all aspects of event operations, ensuring the successful execution of our clients' events with their marketing and communications objectives being met.

The ideal candidate will have experience in sales support or event coordination, with strong organizational and multitasking skills. They will be responsible for preparing and managing sales quotations, compiling sales reports, assisting in customer inquiries, and maintaining sales & customer databases.

This is a dynamic role that requires attention to detail and a proactive approach to problem-solving. The Event Operations Specialist will work independently as well as collaboratively within a team environment, utilizing Microsoft Office Suite (Word, Excel, PowerPoint) to manage event planning, logistics coordination, and other related tasks.

Key Responsibilities:

  • Prepare, manage and facilitate sales quotations in alignment with client requirements
  • Compile, manage and maintain relevant sales documentation, ensuring accuracy and completeness at all stages of the sales process
  • Maintain and oversee all sales billing, ensuring timely and accurate invoicing for clients
  • Prepare and facilitate comprehensive sales reports to assist in sales tracking, monitoring and follow-up
  • Utilize sales reports to identify trends and opportunities for improvement within the sales processes
  • Actively assist and attend to customer inquiries, providing timely and helpful responses to generate and nurture sales leads
  • Proactively manage, update and maintain the sales and customer database to ensure all records are current and comprehensive
  • Maintain an overview of project expenses and track all billing information
  • Coordinate with different departments to ensure seamless communication regarding budget constraints and allocations
  • Perform general office administrative duties, including but not limited to filing and data entry
  • Support event planning and execution through effective space management, logistics coordination and other related tasks
  • Provide on-site support during events, ensuring all aspects are in place and functioning as planned
  • Set up for event registration & management and support on-site registration
  • Communicate effectively with clients, vendors and other stakeholders to resolve any issues that arise during events

Requirements:

  • Diploma in Business Administration, Event Management, Sales, Marketing or a related field or equivalent experience preferred
  • Experience in a sales support or event coordination role is highly desirable
  • Strong organization and multitasking skills, with an ability to prioritize and meet timelines
  • Excellent communications skills, both verbal and written, with a strong emphasis on customer service
  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint)
  • Strong attention to detail and a proactive approach to problem-solving
  • Ability to work independently as well as collaboratively within a team environment
  • Flexibility to work on weekends or irregular hours, as necessary, especially during event days
