Reporting Relationships:
- Direct Manager: Assistant Facilities Manager
The Workplace Coordinator will support the Assistant & Post Facilities Manager in managing daily client activities for the assigned property/facility. The role involves being on-site as the key contact for clients and service partners, coordinating with the internal IFM team, service partners, and helpdesk to meet operational needs. Key responsibilities include:
Procurement and Vendor Management
- Benchmark services through reviews and audits
- Handle reports, finance, and document submissions
- Coordinate contractor management programs
Facilities Operations
- Ensure building procedures and performance standards are met
- Support preventive and planned maintenance to reduce costs and prevent failures
- Monitor operational procedures and site policies
- Implement and audit internal management systems for quality assurance
- Assist with relocations and maintenance scheduling
Communication and Relationship Management
- Contribute to monthly management reports
- Follow up with customers timely
Training
- Support team training on policies and systems
- Assign buddies to new team members
Core Competencies
- Experience in property management and facilities management
- Knowledge of occupational health and safety, vendor management
- Understanding of commercial contracts
- Financial management skills
- Strong planning, organizational, and communication skills
- Ability to manage multiple operational issues and solve complex problems
- Leadership and team-building skills
- Ability to work under stress and adapt to change
Experience
- Bachelor's degree with at least 1.5 years in the IFM industry
- Detail-oriented with problem-solving skills
- Team player with good communication skills
- Self-motivated and proactive
