Job Opportunity
The selected candidate will oversee grant financing administration, planning, and fund management to ensure effective governance, compliance, and support for researchers.
Key Responsibilities:
- Lead and manage the Grants Admin team to ensure smooth operations, including proper set-up and fund utilization of WBS-es.
- Advise and support Principal Investigators on grant-financial management, particularly for large external programmatic grants.
- Manage budget funding issues, virements, and liaise with Finance Cluster to process and track approved virements.
- Oversee audit queries and compliance matters related to grants.
- Provide support for progress reports, appraisals, and other reporting obligations under grant terms.
- Coordinate grant-related administration with research offices, Office of Legal Affairs, ILO, Office of Financial Services, and external funding agencies.
- Vet reimbursement documents from RCAs, PAs, and subawards; follow up with Finance/HR clusters to ensure accurate reporting.
- Provide advice on grant budget management and fund utilization.
- Liaise with Finance Cluster and auditors on audit matters.
- Identify opportunities to develop guidelines, SOPs, and process improvements for greater operational efficiency.
Development & Donor Relations:
- Build strong working relationships with development offices to develop donor funding propositions and processes.
- Support in managing discussions on new gift opportunities with internal stakeholders and prospective donors.
- Maintain accurate records of gift case progress in the central database.
- Prepare financial and management reports on donor funds to inform stakeholders and support decision-making.
- Provide administrative and operational support for advancing gift purposes and fundraising events as required.
The ideal candidate will possess a relevant degree, with at least 8–10 years' experience in finance and grants administration. They should have strong knowledge of SAP systems, proficiency in Excel, and willingness to learn new financial reporting systems. Supervisory and mentorship experience is also essential. Excellent analytical skills and experience in grants and financial modelling are highly desirable. The ability to multi-task and thrive in a dynamic, fast-paced environment is crucial, as well as strong interpersonal and relationship-building skills, with the ability to collaborate across all levels. A high level of discretion and professionalism in handling confidential information is also required.
