Key Responsibilities
Event Coordination & Execution
Full responsibility for event management , including venues, catering, RSVPs, name tags, dietary requirements, seating arrangements, and overall event logistics.
Ensure (SOPs) are followed
for successful event execution, covering:
Event calendar management online via the member portal and app
Invitations, reminders, and member communications.
Event setup, speaker coordination, and day chair assignments.
Confirming speaker requirements and ensuring their needs are met.
Venue planning and execution.
Post-event follow-up, thank-you notes to speakers, attendees, and day chairs.
Reporting on event attendance, survey scores, and feedback
Membership & Administrative Support
Assist with
membership onboarding , ensuring a smooth experience for new members.
Provide
member support and troubleshooting
related to access to YPO's systems, platforms
Keep the
calendar of events updated
on the member portal.
Assist in managing the
chapter's communication tools and digital assets .
Handle general
administrative tasks
to support the Chapter Manager and leadership team.
Digital Skills / Tools
Computer literacy is essential, including proficiency in:
MS Office applications – Teams, Word, Google Suite, PowerPoint.
AI tools such as ChatGPT (important).
Experience with survey and engagement tools
(nice to have):
MentiMeter, SurveyMonkey, Peakon, Kahoot.
Experience with email marketing platforms such as MailChimp or similar (nice to have).
Ideal Candidate Profile
Experience in event coordination, administration, or community management.
Strong organizational and communication skills with attention to detail.
Tech-savvy and familiar with digital platforms, AI tools, and event technology.
Ability to work independently while collaborating effectively with a remote team.
Flexible and adaptable to a dynamic, high-profile leadership environment.
