Executive Assistant to APAC President We are seeking a highly skilled and proactive Executive Assistant to provide unparalleled support to our APAC President. The successful candidate will be a strategic partner, providing comprehensive executive and administrative support to ensure the President's effectiveness and the smooth operation of the APAC executive office. This role is deeply involved in the inner workings of the company, providing critical operational and administrative support that enables the President to effectively lead and make strategic decisions. The role involves anticipating needs, coordinating cross‐functional initiatives, managing calendars and travel, preparing briefings and communications, tracking actions to completion. The successful candidate will be a decisive problem solver who can balance urgent deadlines and multiple priorities while proposing practical solutions to keep workstreams moving smoothly. Given the sensitive information handled, this position requires exceptional judgment, confidentiality and the ability to exercise discretion, autonomy and effective communication when representing the APAC executive office. Main Responsibilities Inbox and Communication Management: Manage and prioritise the President's emails to ensure efficient flow of information and response to critical communications. Research, prioritise, and follow up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature. Determine appropriate course of action, referral or response. Strategic Calendar Management: Extensively manage the President's calendar, strategically planning and prioritising engagements to align with APAC Executive office and organisational goals. Keep the President well informed of upcoming commitments and responsibilities, following up appropriately. Meeting Coordination: Organise meetings with multiple stakeholders across global time-zones, ensuring all participants have the necessary information and materials. Manage logistical aspects of business engagements. Leadership Meeting Participation: Actively participate in leadership meetings, contributing to agenda preparation, documentation and follow-through on action items. Event Management: Plan and coordinate internal and external events, ensuring they align with organisational objectives and are executed flawlessly. Representing the Executive office: Develop relationships with internal and external stakeholders whilst representing the President's interests. Demonstrate leadership to maintain credibility, trust and support with senior management staff. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping them updated. Travel Management: Efficiently handle all business scheduling, including complex travel arrangements and itinerary changes. Document and Report Preparation: Prepare, review, distribute and maintain documents, reports and presentations that support decision-making at the highest levels. Expense Management: Process expenses and reimbursements in a timely manner, ensuring alignment with company policies and financial prudence. At all times, demonstrate behaviour that is in line with Liberty core values. Perform other related duties as assigned by the APAC President, or another appropriate Executive officer as directed by the APAC President. Key Skills Communication Skills: Exceptional written and verbal communication abilities; effective at managing relationships and representing the APAC Executive office as needed. Interpersonal Skills: Strong customer service and stakeholder management skills with the ability to work under pressure and meet tight deadlines. Ability to manage high-level and complex stakeholder relationships. Organisational Skills: Excellent organisational and multitasking skills, with a strong ability to prioritise tasks effectively, be proactive and anticipate needs. Detail Oriented: Sharp attention to detail with a focus on accuracy in all aspects of the role. Project Management: Robust project management skills, with a keen understanding of how to manage, prioritise, and execute complex projects. Discretion: High level of discretion and integrity, with a commitment to maintaining confidentiality. Problem Solving: Solutions focused with the capability to manage high-pressure situations calmly and effectively. Strategic and Critical Thinking: Strong ability to think strategically and critically, with a proven track record in problem solving and decision making. Adaptability: Strong resilience and tolerance to handle high pressure situations. Flexibility in working hours and ability to work autonomously. Financial Acumen: Solid understanding of financial management and budgeting. High Performance Culture: Demonstrated ability to drive business and personal development through continuous improvement. Experience & Qualifications Work Experience: Proven experience operating as an Executive Assistant at the C-suite level, ideally within a major industry sector. Previous insurance industry experience is desirable. Technical and Digital Proficiency: Fluency with office applications, including Microsoft Office suite, Teams and other related business software and digital tools is essential. Educational Background: Tertiary qualifications in a related discipline are desirable. Relevant professional development or certifications in project management, business administration or executive support are a plus. Commitment to continuous learning and keeping up to date with sector and technology changes. Industry knowledge (desirable): Basic understanding of insurance concepts, terminology and the regulatory environment is beneficial for anticipating needs and preparing relevant briefings.
