Executive Assistant to President Apme

**Principal Responsibilities**
The Executive Assistant provides confidential and efficient support to the President APME and will be responsible for providing a wide-range of support to the management. This includes, but is not limited to calendar management, personal logistics, presentation, creation, special projects and other types of administrative support. The Executive Assistant will work independently and with a deep sense of urgency to ensure that the President’s needs are supported in a professional and confidential manner
Specific responsibilities of the role include, but are not limited to-:
- Providing administrative support to the President, of which includes and not limited to diary management, travel and expense management, errands, and/or office or management driven activities
- Facilities management, office equipment, maintenance, supplies and office systems
- Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time.
- Ensuring Office Standard Operations and procedures are well planned and executed.
- Organize, Manage and prioritize multiple projects for APAC simultaneously and follow through on issues in a timely manner.
- Prepare memos, reports, invoices, projects, presentations and other documents as needed.
- Purchase orders, purchase requests and tax invoices, such as work with accountant, finance team and other external providers.
- Provides direction and guidance to Administrative Officer to ensure strong support to regional directors in the Asia Pacific office.
- Other administrative duties and projects as required (i.e. affia name, vendor negotiation, coordination with various government agencies and associate and etc.)
**Qualifications and Experiences**
- A professional, mature and confidential demeanor
- Excellent organizational skills with the ability to co-ordinate and prioritize tasks
- Demonstrates discretion in preparing, disclosing and handling information of a confidential and sensitive nature; establish work priorities and remain flexible.
- Demonstrates attention to detail and ability to work independently
- Good communication skills, both written and oral and excellent relationship building skills
- Fluency in Chinese and English is required for this role.
- Ability to manage multiple priorities, projects and display flexibility in a fast-paced and changing work environment.
- A keen sense of urgency, adaptability, and accountability to strive for excellence in high pressure situations, willing to go the extra mile, to accomplish goals.
- Must demonstrate a high level of responsiveness in communicating with employees of all levels and other external constituents using all forms of communication.
- Knowledge in basic IT, Procurement processes, but not essential
- Proficient in MS office programs, confident to prepare presentation and use excel/ word document.
