Job Summary:
We are seeking a highly proactive Personal Assistant (PA) to provide comprehensive support to the CEO and family. The candidate will possess exceptional communication skills and a strong ability to manage multiple tasks.
Job Responsibilities:
Family-Related Responsibilities:
Manage the family's schedule, including coordinating personal appointments, school activities, home purchasing, and family events.
Arrange family travel schedules for vacations, including travel proposals, visa applications, transportation, accommodation, flights, and itineraries.
Oversee household management tasks, such as coordinating with domestic staff, managing household supplies, and handling maintenance issues.
Maintain confidentiality and discretion in all family matters, ensuring the privacy of the Managing Director and their family.
Food delivery if required.
Support work on weekends or after office hours, if necessary.
Other tasks arranged by the family.
Administrative Support:
Manage and coordinate the Managing Director's calendar, including scheduling meetings, appointments, and travel arrangements.
Organize and coordinate meetings. Prepare and organize conference notices, reports, and meeting records.
Handle correspondence on behalf of the executive, including emails, phone calls, and other forms of communication.
Conduct research and compile data to assist in decision-making processes.
Accompany business dinners after office hours, if required.
Business Travel and Expense Management:
Arrange and manage all travel schedules, including flights, accommodations, visas, and itineraries.
Prepare and submit expense reports, ensuring accuracy and adherence to company policies.
Handle personal errands and tasks as needed to support the executive's professional and personal responsibilities.
Other tasks arranged by CEO and family.
Requirements:
Diploma degree and above.
Minimum of 3 years of experience as a Personal Assistant to a boss in Singapore.
Ability to work independently and handle multiple priorities simultaneously.
Good professionalism and discretion.
Proactive and resourceful with a strong attention to detail.
Strong interpersonal skills, with the ability to build relationships at all levels.
