Overview
Executive/Senior Executive, Lease Administration role at ESR Group. This position supports lease administration tasks including preparation of leases and related documentation for new leases and renewals; management of documentation for variations, novations, and terminations; tenant correspondence; due diligence on potential tenants; SOP maintenance; compliance with audit requirements; lease compliance tracking and in-house billing; refunds of security deposits; and collaboration with legal advisors. The role also provides administrative support to the department, including document management and office supplies management.
Responsibilities
Assist in the preparation of leases and related documentation for new leases and renewals.
Manage the documentation related to variations, novation, and termination of leases.
Prepare correspondence for lease issues, including reminders to tenants regarding their obligations.
Conduct due diligence and business profile searches for potential tenants.
Maintain and update the Standard Operating Procedures (SOP) for lease administration.
Ensure compliance with internal and external audit requirements.
Track lease compliance and facilitate billing processes through the in-house system.
Process refunds for security deposits, etc.
Work collaboratively with legal advisors to draft agreements.
Provide administrative support to the department, including document management and office supplies management.
Reports
Compile and maintain reports related to Lease, JTC sublet monitoring, etc.
Support departmental initiatives and special projects as required.
Qualifications
Diploma in Real Estate, Business, or a related field.
1-3 years of experience in lease administration or related areas.
Familiarity with landlord/tenant relationships and lease terms.
Ability to manage multiple priorities, work independently, and thrive in a dynamic environment.
Strong team player with effective communication and interpersonal skills.
Proactive self-starter with a keen interest in learning and contributing positively.
Attention to detail, resourcefulness, and analytical skills are essential.
Good command of written and spoken English.
Proficiency in Microsoft Office Suite is preferred.
