**Executive - Leasing Administration**
This position will perform a variety of administrative tasks. Duties of this role include providing support to the managers, assisting in daily office needs and managing the Leasing Department administrative activities.
**Job Responsibilities and duties
**Leasing**
- Answer leasing enquiries hotline.
- Monitoring expiry of leases.
- Handle complaints/feedbacks on tenancy-related matters from both existing and prospective tenants/agents.
- Unit keys management for viewing/handover (work closely with Finance, Property agent/building management teams).
- Conduct due diligence on new and existing tenants prior to the issuance of letter of offer, but not limited to compliance matters.
- Communicate, follow-up and liaise with lawyers and tenants to ensure timely execution of tenancy contracts/documents.
- Ensure all deposits/BG, advance rental, stamp duty fee and any other payments are received accurately for new and renewal lease execution.
- Liaise with surveyors on site survey.
- Establish and maintain good landlord and tenant relationships.
**Administrative**
- Enter information and data into the system and update the tenant listing.
- Monitor the status of lease documents.
- Update vacancy listing to managers and agents on regular basis.
- Perform all administrative tasks pertaining to property and leasing matters, including
- Preparation of tenancy related documents (Letter of Offers, Novation of lease and pre-termination etc.), vetting and reviewing of agreements.
- Maintain and update tenancy schedules, floor plans etc.
- Ensure proper filing of leasing documents.
- Schedule appointments for leasing managers.
- Handle festival hampers/goodies to tenants.
- Assist in survey submission on occupancy of commercial premises.
- Assist in attending IRAS queries on property tax matter relate to leasing, separate assessment submission.
- Any other task as assigned by immediate supervisor / management.
**Skills and Qualification**:
- Diploma in Real Estate/ Building Management/ Business Administrative or its equivalent.
- At least 2-3 years relevant experience in lease administration.
- Attention to detail and problem-solving skills.
- Excellent time management skills and the ability to prioritize work.
- Possess good communication, interpersonal and writing skills.
- Team Player, independent and process initiative.
- Good command of written and spoken English.
- Proficiency in MS Office (MS Excel, MS Word and MS PowerPoint, in particular).
